Virtual Tax Prep Explained: What It Is, and What It Is Not

Tax season can be stressful. But it doesn't have to be. Thanks to technology, you can now handle your taxes without leaving your home or office.

"Virtual" confuses people, though. Some hear it and picture a website where they type their own numbers into boxes with nobody to ask. That is not this. Here is what actually happens.

It is the same work, without the drive

A real preparer still prepares your return, reviews it, and signs it. You still talk to that person — on the phone, on video, by email, or by text, whichever you actually use. The only thing that disappears is the trip to an office and the afternoon off work.

That is the whole difference. Everything else is the same as it has always been.

How it goes, start to finish

You tell us about your year. New job, new baby, moved states, started driving for an app, bought a house, someone passed away — the things that change a return. This is a conversation, not a form.

You send your documents. You get a secure portal. Photograph your W-2 with your phone and upload it, or drag files in from a computer. It takes most people a few minutes.

We review it together, then you sign. I go through the return with you and explain anything that looks different from last year. When you are satisfied, you sign electronically and we e-file. You keep a copy in the portal permanently.

Why the portal, and not email

Your tax documents have your Social Security number, your children's Social Security numbers, and your bank account on them. Email was not built to protect that. It sits on servers, it gets forwarded, and it is the single most common way tax information leaks.

The portal is encrypted and it is yours — you can open it at two in the morning in August to find last year's return for a mortgage application. That is worth more than most people expect until the day they need it.

So: please do not email me your documents, even if it seems faster. I will send you the portal link instead.

"I'm not good with computers"

I hear this a lot, usually from people who then do the whole thing in ten minutes. If you can send a photo in a text message, you can do this.

And if you get stuck, call me and I will walk you through it while you are looking at the screen. I have done it over the phone plenty of times. That is part of the service, not an imposition.

Does it cost more?

No. Your fee depends on what your return actually needs — which forms, how complicated your year was, what condition your records are in. Not on how the paperwork reached me.

Who this works well for

People who work hours that do not match office hours. Parents who would rather not bring the kids along. Anyone who moved away but wants to keep the same preparer. Clients in other states. Drivers, who are already doing everything else on their phone.

It also works well if you simply hate the feeling of sitting across a desk while someone types in silence. You can send your documents on a Sunday night and get on with your week.

One honest caveat

If you want an ITIN, some of it still happens on paper. The W-7 has to be signed by hand, and the IRS wants original documents. We will walk you through the options for that part — but I am not going to pretend it is fully online, because it is not.
